Who We Are
Caspermate is operated by CARDILOG PTY LTD (ABN 71 686 097 290). CARDILOG PTY LTD is responsible for the personal information collected through Caspermate and is the data controller for the purposes of this Privacy Policy. We handle your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Information We Collect
When you create an account, we collect your name and email address. If you sign in with Google, we receive your Google profile name and email. We also collect your typed and spoken responses during practice sessions to provide AI-powered feedback. When you use spoken-response practice, we create a short audio recording of your voice answering each scenario; that recording is sent to a third-party speech-to-text provider, located overseas, to generate a transcript. We do not store the audio recording — only the resulting text transcript is saved. When you subscribe to a paid plan, our third-party payment provider collects your payment and billing details on our behalf, and we may collect technical data such as your IP address and usage activity.
How We Use Your Data
We use your personal information to operate, secure, and improve Caspermate — to provide AI evaluation and feedback on your practice responses, process payments, send you service and (where permitted) marketing emails, and understand how the service is used. Your practice responses are sent to our AI provider for evaluation and scoring. We do not sell your personal information. We do share it with the third-party service providers described below so they can perform these functions on our behalf, and we use analytics and advertising tools as described in this policy.
Who We Share Your Information With
We use trusted third-party service providers to operate Caspermate, and we share personal information with them only so they can provide their service to us. These include:
- Cloud hosting and storage providers — to run the platform and securely store your account and responses.
- AI and speech-to-text providers — to evaluate your practice responses and transcribe your spoken answers.
- Payment providers — to process payments, subscriptions, and tax.
- Email and communication providers — to send you service and marketing emails.
- Analytics and advertising providers — to measure usage, improve the product, and measure the effectiveness of our advertising.
Overseas Disclosure
Several of our service providers are located outside Australia, principally in the United States. When you use Caspermate, your personal information may be disclosed to, and stored by, these providers overseas. By using the service you acknowledge that, once disclosed overseas, your information may be handled under the laws of those countries, and that Australian Privacy Principle 8.1 may not apply to those overseas recipients.
Cookies and Tracking
We and our third-party analytics and advertising providers use cookies and similar technologies. These include essential cookies that keep you signed in and secure the service, analytics cookies that help us understand how the service is used, and advertising cookies that help us measure and improve our marketing. We also use session-recording technology that captures how users interact with the app (such as clicks, navigation, and page activity) to diagnose issues and improve the experience. You can control or block cookies through your browser settings, although some features may not work properly without essential cookies.
Data Storage & Security
Your data is stored securely on reputable third-party cloud infrastructure. All connections are encrypted via TLS. We follow industry-standard security practices to protect your information.
Data Retention
We keep your personal information for as long as your account is active and for as long as it is necessary for the purposes described in this policy — including to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. When you delete your account, we close it and remove your ability to sign in. We retain the associated data only for as long as necessary for these purposes or as required or permitted by law, and we take reasonable steps to delete or de-identify it once it is no longer needed. We may retain de-identified or aggregated data, which no longer identifies you, to analyse and improve the service.
Direct Marketing
With your consent or where otherwise permitted by law, we may send you marketing emails about Caspermate, such as product updates and Casper test reminders. Every marketing email includes an easy way to unsubscribe, and you can opt out at any time by emailing us at support@caspermate.com. You can choose to stop all marketing emails or only certain types. Opting out of marketing does not affect service and transactional emails (such as receipts, security alerts, and account notices), which we need to send to operate your account.
Your Rights
You can request access to, correction of, or deletion of your personal data at any time by contacting us. You can also delete your account from the settings page.
Complaints
If you have a concern or complaint about how we have handled your personal information, please contact us at support@caspermate.com. We will acknowledge your complaint and aim to respond within a reasonable time, usually within 30 days. If you are not satisfied with our response, you can escalate your complaint to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
